Below are Terms & Conditions for the 3 different venues we currently work with.

Please refer to the Terms & Conditions for the venue you have been invited to exhibit at - tick your booking form to confirm your understanding.

Dorking Halls - Terms & Conditions – UPDATED 15.03.2022

Please note that we will continue to review our Terms and Conditions in line with any further government advice following the pandemic.

Dorking Halls (“The Halls”) conditions of hire – please make sure you have read and agree to:

  • You are not permitted to smoke or vape in any part of The Halls.

  • Well behaved dogs kept on leads are permitted in The Halls.

  • Refreshments, food, and alcohol cannot be consumed within the Cafe area.

  • Nuisance, or annoyance to other users of The Halls or residents or other occupiers of neighbouring properties is not permitted.

  • No vehicles shall be parked or wait at the front entrance or approach to The Halls or in the side way leading to the back of The Halls or in the small staff car park to the rear of The Halls.

  • Parking at The Halls is free on a Sunday based on current Council charges.

  • Access will not be provided until the venue is completely set for the event.

  • Exhibitors must remain within hired facilities and must not enter any other parts of The Halls.

  • Equipment, fixtures, and fittings cannot be moved without consulting Curated by Dapper & Suave.

  • All equipment and the venue must be left as they were found, in a neat and tidy condition and in a good state of repair.

  • Exhibitors are not permitted to use glue, adhesive tape, pritt pads, nails or drawing pins to attach items to walls, pillars, or fixtures. The full cost of making good any damages will be recharged.

  • Any items brought into The Halls must be non-flammable – candles must not be lit.

  • Any electrical equipment must be PAT tested ahead of the event by an approved electrician with supporting documentation available if required. All cables must be flown.

  • The Council / The Halls accept no responsibility for any items lost, stolen or damaged.

  • The Manager and duly authorised officers of The Council, police, ambulance, and fire authorities shall always have free access to all parts of The Halls.

  • The Council reserves the right to refuse admission to or remove any person without stating any reason.

 

Ticketing

  • A member of Curated by Dapper & Suave staff will meet and greet visitors.

  • Visitor numbers will be tracked to give stallholders feedback.

  • 2022 events will not be ticketed except Christmas where £2 entry fee will be charged with 50% being donated to a designated charity.

  • Tickets for Christmas will be managed through Dorking Halls Booking System.

  • Entry will be from 11am. Last entry will be 3:45pm.

 

Cancellation

 

Stallholders must give notice of the need to cancel in writing and be aware that Curated by Dapper & Suave reserve the right to enforce cancellations charges: ​

 

  • Less than 14 days in advance, to retain the hire fee​.

  • 15 – 30 days in advance, to retain 50% of the hire fee​.

  • 31 – 60 days in advance, to retain 25% of the hire fee.

Curated by Dapper & Suave will work closely with Dorking Halls to ensure these events happen as scheduled in line with COVID regulations (currently Plan A).

 

If extreme weather, local or national lockdown resulted in cancellation of the event, Curated by Dapper & Suave will contract exhibitors by 8am on the day of the event and refund of the hire fee discussed subject to the cost of any promotion for event.

  

Ahead Of the Day

 

Curated by Dapper & Suave will:

 

  • Promote the event on social media and with signage in the local area.

  • Provide a floor plan and any other information ahead of the event.

  • Accommodate any special requests where possible.

  • Apply for the TEN licences for any exhibitors selling alcohol.

  • Provide stallholders with a time slot to unload into the Grand Hall from 9am -11am.

 

Stallholders need to:

 

  • Bring their own tablecloth to cover the table provided to the floor.

  • Be aware of customer or personal choices to wear facemasks or provide sanitiser.

  • Keep themselves aware of how the event will run including any Zoom calls, WhatsApp group discussions or other material provided by Curated by Dapper & Suave.

  • Promote the event on their own social media and network using materials provided.

  • Keep Curated by Dapper & Suave aware of any changes in the products planned to be sold.

  • Be aware that each market is curated, and application does not guarantee a place at every market – this is to ensure choice and variety.

On The Day

 

Dorking Halls will:

 

  • Provide a table 6-foot length x 2-foot 3 inches width x 2-foot 3.5 inches height.

  • Provide chairs for stallholders to collect – any unused chairs will be removed 10:30am.

  • Provide WIFI details.

  • Provide electricity as previously agreed.

  • Provide lift access to those exhibitors who will be on the stage area in the Grand Hall.

Stallholders need to  

​​

  • Park in the main carpark and carry their items to the back door and inside.

    • DO NOT park in the red marked bays next to the back door, even to unload.

  • Ensure they keep to their time slots to unload – this has been beneficial to all stallholders.

  • Bring assistance if they require to load / unload.

  • Ensure any assistance has left the room between 11am and 4pm.

  • Work with neighbours within their designated space.

  • Avoid bringing excessive additional display materials or tables without prior consultation with Curated by Dapper & Suave.

  • Ensure they adhere to the section below relating to Dorking Halls.

  • Ensure any issues which need to be addressed with Dorking Halls are flagged to Curated by Dapper & Suave so that they can be identified in advance for future events.

  • Take away all rubbish at the end of the day or use bins provided. No rubbish to be left.

 

Curated by Dapper & Suave will:

 

  • Promote the event using additional signage outside Dorking Halls.

  • Promote the event inside Dorking Halls using additional promotional materials.

  • Provide a meet and greet member of staff to count and welcome visitors.

  • Encourage visitors to extend their visit and re-enter the market.

Outside Food Vendors - Dorking Halls - Terms & Conditions – NEW 09.05.2022

This section is in addition to the normal terms and conditions for Dorking Halls.

 

It only applies only to food vendors outside of the entrance to Dorking Halls during our Markets.

Stallholders must:

  • Only sell hot food.

  • NB - Cold food and hot, cold, or alcoholic drinks must not be sold due to conflict of interests with Dorking Halls café.

  • Keep Curated by Dapper & Suave aware of any issues with product availability.

  • Make Curated by Dapper & Suave aware of requirements for electricity.

  • Be able to connect to a 16 amp single cee form plug for electricity from Dorking Halls.

  • Park appropriately on arrival and make themselves known to Curated by Dapper & Suave.

  • Ensure any issues which need to be addressed with Dorking Halls are flagged to Curated by Dapper & Suave so that they can be identified in advance for future events.

  • Keep any display material to a minimum to avoid blocking pedestrian sight lines.

  • Take away all rubbish at the end of the day or use bins provided. No rubbish to be left.

  • Make Curated by Dapper & Suave aware if they have sold out and need to leave the market.

 

Curated by Dapper & Suave will:

  • Make Dorking Halls aware to provide electricity if required.

  • Contact the technician once outside food vendors arrive to connect electricity.

​After the event

 

Stallholders need to:

​​

  • Share takings for the event with 24 hours to Curated by Dapper & Suave.

  • Please note this is strictly confidential and will not be shared at stallholder level with any other exhibitor – it provides valuable insight into curating the best markets.

  • Share any feedback including ways to improve future events directly with the organiser.

 

Curated by Dapper & Suave will:

 

  • Combine all takings for the event and share performance by product category including average spend and visitor numbers.

  • Provide feedback and support to all stallholders to maximise future takings for each business​​​​.

Gildings Barn - Terms & Conditions – UPDATED 15.03.2022

Gildings Barns Events Limited (“GBEL”) conditions of hire

Please confirm your agreement to the following terms and conditions

 

  • You are not permitted to smoke or vape inside GBEL.

  • Smoking outside GBEL is only permitted within designated areas and must use ashtrays provided.

  • Well behaved dogs kept on leads are permitted at GBEL. Owners must take all dog waste away with them.

  • Nuisance, or annoyance to other users of GBEL or residents or other occupiers of neighbouring properties is not permitted.

  • No vehicles shall be parked at GBEL where grass verges may be damaged, obstruct access for emergency vehicles.

  • Exhibitors will need to make their own arrangements if their vehicle becomes stuck on site due to poor weather conditions.

  • Exhibitors should note that there is only parking for 56 cars, and overflow parking in adjacent GBEL owned field is only available during summer subject to weather.

  • Priority parking is given to visitors. GBEL will provide car parking support.

  • Overnight parking is permitted at GBEL at the owner’s risk.

  • Access will not be provided until the venue is completely set for the event.

  • Timed access will be given to exhibitors to manage the flow of vehicles.

  • Exhibitors must remain within hired facilities and must not enter any other parts of GBEL.

  • Equipment, fixtures, and fittings cannot be moved without consulting Curated by Dapper & Suave.

  • All equipment and the venue must be left as they were found, in a neat and tidy condition and in a good state of repair.

  • Exhibitors are not permitted to use glue, adhesive tape, pritt pads, nails or drawing pins to attach items to walls, pillars, or fixtures. The full cost of making good any damages will be recharged to any exhibitor who contravenes this request.

  • Any items brought into GBEL must be non-flammable – candles must not be lit and only battery tea-lights may be used.

  • Any lit flame such as fireworks, Chinese lanterns, Swedish torches, sparklers, gas heaters, campfires and open fires are not permitted.

  • The landing of aircraft such as hot air balloons and helicopters is forbidden.

  • Haybales are permitted subject to hire from GBEL in areas away from smokers. Hay is not permitted in any other area of GBEL.

  • Additional lighting and other decorative equipment and entertainment must be agreed prior to the event by Curated by Dapper & Suave working with GBEL.

  • Any electrical equipment must be PAT tested ahead of the event by an approved electrician with supporting documentation available if required. All cables must be flown.

  • Amplified music is only permitted on the stage inside the main Gildings Barn. Music for outside can only be low background music. All music for daytime events must finish by 8pm.

  • Noise levels must be kept to a reasonable level so as not to cause nuisance to neighbours.

  • GBEL accept no responsibility for any items lost, stolen or damaged.

  • The Manager and duly authorised officers of GBEL, police, ambulance, and fire authorities shall always have free access to all parts of GBEL.

  • GBEL reserves the right to refuse admission to or remove any person without stating any reason.

 

Ticketing

  • A member of Curated by Dapper & Suave staff will meet and greet visitors.

  • Visitor numbers will be tracked to give stallholders feedback.

 

  • Events are ticketed with free timed entry slots to manage visitor numbers and car park space.

  • Tickets will be managed through Eventbrite.

  • Entry will be available to visitors from market opening time each day.

  • Last entry will be available to visitors 30 minutes before the closing time each day.

 

Cancellation

Stallholders must give notice of the need to cancel in writing and be aware that Curated by Dapper & Suave reserve the right to enforce cancellations charges: ​

 

  • Less than 14 days in advance, to retain the hire fee​.

  • 15 – 30 days in advance, to retain 50% of the hire fee​.

  • 1 – 6 months in advance, to retain 25% of the hire fee.

Curated by Dapper & Suave will work closely with GBEL to ensure these events happen as scheduled in line with COVID regulations (currently Plan A).

 

If extreme weather, local or national lockdown resulted in cancellation of the event, Curated by Dapper & Suave will contract exhibitors by 9am on the day of the event and refund of the hire fee discussed subject to the cost of any promotion for event. If one of the two days of the event is cancelled a refund of the hire fee would also be discussed.

 

Ahead Of the Day

 

Curated by Dapper & Suave will:

 

  • Promote the event on social media and with signage in the local area.

  • Provide a floor plan and any other information ahead of the event.

  • Accommodate any special requests where possible.

  • Apply for the TEN licences for any exhibitors selling alcohol.

  • Provide stallholders with a time slot to unload into the GBEL from 9am -11am.

  • Any food and drink stallholders who need to go off site will be provided a time slot to unload on the 2nd day of the event into GBEL.

    • Work with GBEL to agree if the outside space is usable based on weather. In the event of waterlogged conditions, the outside area for the June event may become unusable. In this event food and drink exhibitors will be contacted as soon as possible to advise alternative location if possible or full refund.

Stallholders need to:

 

  • Food and drinks exhibitors must provide details of their vehicle to ensure it is appropriate for the grassed or hard surface areas.

  • Bring their own tablecloth to cover the table provided to the floor.

  • Be aware of customer or personal choices to wear facemasks or provide sanitiser.

  • Be aware that they need to work with Curated by Dapper & Suave as the hirer of the venue to agree siting of items such as gazebos, garden furniture, floral displays and any form of entertainment.

  • Ensure no fixtures and fittings such as items on the walls of GBEL are moved.

  • Ensure that heaters are not adjusted without making requests for adjustments via Curated by Dapper & Suave. Please remember this is a barn venue and you should dress accordingly.

  • Take precautions to ensure visitors especially with young children avoid hazards on this working site including the pond, vintage tools, and machinery.

  • Be aware that access to the surrounding farmland, service area at the rear of the main barn and chalet is strictly forbidden.

  • Keep themselves aware of how the event will run including any Zoom calls, WhatsApp group discussions or other material provided by Curated by Dapper & Suave.

  • Promote the event on their own social media and network using materials provided.

  • Keep Curated by Dapper & Suave aware of any changes in the products planned to be sold.

  • Be aware that each market is curated, and application does not guarantee a place at every market – this is to ensure choice and variety.

 

On The Day

 

GBEL will:

 

  • Provide a table 6-foot length x 2-foot width x 2-foot 6 inches height.

  • Provide 2 chairs for every internal exhibitor.

  • Provide car park support.

  • Provide WIFI details.

  • Provide electricity as previously agreed.

 

Stallholders need to:

  • Dress appropriate for a market held in a barn location with doors open.

  • Park in the main carpark and carry their items to the Threshing Barn access.

  • Make sure they do not park on grass verge as any charges for damages will be invoiced to you.

  • Make sure they move their vehicle as soon as possible after unloading to the designated exhibitor parking area.

  • Ensure they keep to their time slots to unload – this has been beneficial to all stallholders.

  • Bring assistance if they require to load / unload.

  • Ensure any assistance has left the room during the open hours of the event.

  • Work with exhibitors within their designated space.

  • Avoid bringing excessive additional display materials or tables without prior consultation with Curated by Dapper & Suave.

  • Ensure any issues which need to be addressed with GBEL are flagged to Curated by Dapper & Suave so that they can be identified in advance for future events.

  • Take away all rubbish at the end of the day or use bins provided. No rubbish to be left.

 

Curated by Dapper & Suave will:

 

  • Promote the event using additional signage.

  • Provide a meet and greet member of staff to count and welcome visitors using Eventbrite.

  • Encourage visitors to extend their visit and spend time at the market.

  • Monitor flow of visitors to support management of car park spaces.

  • Nuisance, or annoyance to other residents or other occupiers of neighbouring properties is not permitted.

  • Access will not be provided until the venue is completely set for the event.

  • Exhibitors must remain within hired facilities and must not enter any other parts of The Barn or Sollo.

  • Equipment, fixtures, and fittings cannot be moved without consulting Curated by Dapper & Suave.

  • All equipment and the venue must be left as they were found, in a neat and tidy condition and in a good state of repair.

  • Exhibitors are not permitted to use glue, adhesive tape, pritt pads, nails or drawing pins to attach items to walls, pillars, or fixtures. The full cost of making good any damages will be recharged.

If extreme weather, local or national lockdown resulted in cancellation of the event, Curated by Dapper & Suave will contact exhibitors by 12 noon on the day of the event, and refund of hire fee discussed subject to the cost of any promotion for the event.

 

Ahead Of the Day

 

Curated by Dapper & Suave will:

 

  • Work with The Barn to agree if the outside space is usable based on weather. In the event of waterlogged conditions, the outside area may become unusable. In this event food and drink exhibitors will be contacted as soon as possible to advise alternative location if possible or full refund.

  • Share information on where to park and timed entry slots. 

 

Stallholders need to:

  • Provide their own 6-foot table.

  • Provide cover by exception – Curated by Dapper & Suave will contact you if required.

  • Dress weather appropriate for the event if they are exhibiting outside.

Stallholders need to:
